A certificate proves that a system exists; a capability study, a lot number and a dated photograph prove that something happened.

Most of the enquiries we handle at Top Plastic Co., Ltd. start with a buyer in Europe or North America who has two candidate suppliers and no budget for two flights. The checklist below is what we send them, including the items that are inconvenient for a trading desk to answer.

What a remote audit can and cannot establish

A remote audit is good at documents, traceability, dimensional data, process records and the quality of written communication. Those five things predict most of the risk in a stock-shape order, because a factory that cannot produce them consistently usually cannot produce a consistent part either.

It is poor at housekeeping, machine condition, operator skill and the honesty of in-house statistics. A summary line reading Cpk 1.67 tells you very little until you have asked for the raw readings behind it. Treat remote auditing as a screening stage, and reserve an on-site visit for a critical part or a first order large enough to justify the trip.

Resin certificates versus in-house test reports

When you are auditing plastic supplier paperwork, the resin certificate is usually the first item produced and the least useful on its own. It proves which grade and lot the factory bought from the polymer producer. It does not prove that the sheet in your pallet came from that lot, nor that the extrusion run stayed within the grade’s window.

An in-house test report closes part of that gap, provided it names the test method, the sample location and the date, and states values for the property you actually care about. Density, tensile strength and a thermal figure such as deflection temperature are enough to detect a substitution in most cases. We explain how we link the two in our notes on material certificates and traceability.

<img data-recalc-dims="1" decoding="async" src="https://i0.wp.com/cntopplastics.com/wp-content/uploads/2026/10/tp-pps-nat.jpg?w=1220&ssl=1" alt="PPS natural sheet and rod. Twenty-five to fifty consecutive parts, with the gauge identified and the measuring method stated, will tell you more about a supplier than a page of rounded summary figures. Thickness and flatness are the two characteristics worth reviewing first on any sheet order, because they are where extrusion processes actually drift.

Document

What it proves

What it does not prove

What to ask for

Resin certificate of analysis

Grade and lot bought from the polymer producer

That your sheet came from that lot

Lot number repeated on the stock certificate

In-house material test report

Properties of the supplied shape

Long-term behaviour under your duty

Test method, sample location and date

Dimensional capability study

Whether the process holds your tolerance

Whether the gauge itself is capable

Raw data over 25 parts or more

Annealing and process records

That stress relief was run as specified

That every batch is treated identically

Signed schedule with batch numbers

ISO 9001 certificate

That a quality system has been audited

That the system is followed on your order

Scope wording and expiry date

One caution on certificates: a document that names the standard but not the scope is close to worthless. A quality certificate covering extrusion of polyolefins says nothing about machined PEEK components, and it is common for the scope line to be the smallest text on the page.

Process evidence: extrusion, annealing, QC gates

Process evidence is where remote auditing plastic supplier checks either become real or stay decorative. For extruded sheet, ask for the barrel temperature range, the cooling arrangement and the take-off speed for your run, plus a statement of whether the sheet was annealed and at what schedule. For machined parts, ask where the inspection gates sit in the routing.

The answer you are looking for is boring and specific. A supplier who can name the annealing cycle and the inspection points without going away to find out is describing a process they run. A supplier who returns a paragraph of general quality language is describing a brochure.

Photo and video verification that is hard to fake

Photographs of a finished part prove almost nothing. Photographs of the measurement being taken, with the order number visible and the gauge readable, prove a great deal. Ask for a short video of the packing stage rather than a photograph of the packed pallet, and ask for it live if the order value justifies the time.

We are comfortable with live calls for exactly this reason: a plant is either there or it is not, and we describe ours openly on our about page. Suppliers who refuse a scheduled video walkthrough are not necessarily dishonest, but they are handing you a risk signal you should price.

<img data-recalc-dims="1" decoding="async" src="https://i0.wp.com/cntopplastics.com/wp-content/uploads/2026/10/tp-ptfe-gl25.jpg?w=1220&ssl=1" alt="PTFE 25% glass filled sheet and rod. Documents, traceability and capability data travel well. Physical condition does not. If your part is safety-related or the annual spend is significant, use the remote stage to shortlist and the site visit to confirm.

Which single document proves capability best?

A dimensional capability study with the raw readings still attached. It is the hardest document to fabricate convincingly and the easiest to compare between two suppliers, because the numbers are either consistent or they are not.

How do I check that the material is the grade I ordered?

Cross-check three things: the grade name on the stock certificate, the lot number on the resin certificate, and an in-house test that would move if the grade were substituted. Density and a thermal property are usually enough. If you are auditing plastic supplier claims about a high-temperature grade, ask for the thermal figure specifically.

What should go into a supplier scorecard?

Keep it short enough to update every order: on-time delivery, dimensional conformity, document completeness, response time to technical questions and the number of changes requested by the supplier. Score each out of five and review quarterly. If a supplier asks what the weighting is, that is a good sign. Our own quality scope is set out in the ISO 9001 recertification record, and our contact page reaches the people who answer these questions directly.

You cannot fly to every supplier.
